Clear Space is growing!

We are currently seeking candidates for two full-time salaried positions: Company Manager & Production Manager. We hope to onboard both roles in January 2025, so if you are interested, please submit your cover letter, resume, and three references to employment@clearspacetheatre.org soon. In addition, on an on-going basis, we are looking for sound engineers, light board operators, musicians, and set construction crew. These are all contracted roles. Production Manager

Clear Space seeks a Production Manager with demonstrated strong leadership skills, a dynamic person with a passion for the arts and the impact of art on the lives of the community. The Production Manager is responsible for managing the technical aspects of the Artistic Director’s vision for all Clear Space productions and ensuring they are financially sound, artistically superior, and supported. The Production Manager is responsible for managing the overall technical operations of the productions of the company. The production manager is ultimately responsible for ensuring that all aspects of the production are completed within budget, according to the designer and director’s wishes, and in time for the first public performance. They oversee the cost effectiveness and planning of the entire production process.

Key responsibilities include:

Creative Team Management

  • Meetings
    • Guide creative team meetings
    • Create a written account for each creative meeting
    • Organizing additional meetings for cast and production staff
    • Maintain contact information and ensure constant communication of new information from creative meetings is sent to all production team members and Artistic Director
    • Maintaining contact information for the assistants and crew of each production to maintain correspondence during productions (i.e. ASM, Costume Supervisor,
      Production, Assistant, Set Painters, etc.)
    • Ensure all creative members have materials the need for meetings at least one week or more prior to all meetings. (i.e. scripts, music, reports, handbooks, handouts from other
      designers, etc.)
    • Working closely with Directors and other department heads to make decisions regarding set, costume, lighting and other aspects of a production and ensure these are within the
      budget of the production
    • Ensure decisions made regarding all production elements are carried out safely
    • Send report to Artistic Director after every Production Meeting
    • Ensure that all CSTC productions maintain standards of artistry.
  • Schedules
    • Creating and maintaining a production schedule for each show
    • Implements, maintains, and reviews all production calendars to ensure accuracy.
    • Ensure all actors and Creative Team members have received schedules and all materials needed to begin rehearsals in the space
  • Budgets/Finance Operations
    • Contribute input to Clear Space’s annual operating budget to Artistic Director
    • Communicate financial progress against budget to the Artistic Director by show
    • Ensure that all designers have information needed to manage individual budgets
    • Ensure accurate and timely processing of receipts and monies from designers/staff
    • Research technical theatrical equipment for rental or purchase for productions.
    • Identifies and recommends updates to procedures/budgets.

Company Management Collaboration

  • Actor Relations
    • Work closely with Company Manager on acting deputy responsibilities and scheduling
    • Coordinate initial rehearsal schedule distribution and contact sheet distribution with the Company Manager
    • Coordinate comp ticket reminders with Box Office Manager and relay to actors
    • Maintain a record of all actor’s updated DEI and Clear Space Workplace Safety Policy compliance signatures
  • Contract Management
    • Maintain communication with Company Manager about open contracts for collection and contacting of employees to close open contracts
    • Maintain a record of all creative team member’s updated DEI and Clear Space Workplace Safety Policy compliance signatures

Building Management

  • Rehearsals
    • Ensure space is safe for all actors and Creative Team members prior to start of rehearsals and meetings
    • Ensure Stage Manager has all information and space is prepared for all rehearsals
  • Classes
    • Ensure space is safe for all students and Instructors prior to start of classes
    • Ensure Instructors have all information and space is prepared for all classes
  • Rentals
    • Meet with potential rental applicant in space to go over space and systems (i.e. lights, sound, etc.) they like to use along with the number of hours and potential schedule, dates, etc.
    • Communicate with Company Manager and collaborate on paperwork to be sent and completed by rental applicant.
    • Ensure space is safe for rental needs (audience and participants) for all spaces being used during the rental hours.
    • Facilitate the event as the supervisor during the event; running interference between the front-of-house and the technical side of the house; while also managing the rental
      applicant.
    • Ensure that rental applicant and rental applicant’s staff cleans up building; lock up building
  • Load-in/Load-out
    • Coordinate load-ins with creative team members of all items for each show (shows will overlap, so organization is key)
    • Communicate needs with each creative team member during load in
    • Manage and assist creative team during load-in; as tech week moves forward house should be cleaned up and completely ready for opening by final tech
    • Manage and assist creative team during load-out; upon closing of a show all items should be packed and labeled to return to original destination, if they cannot be, a plan should be put into place immediately and action taken to do so a very short time after
  • Organization of Space
    • Keep stage and backstage areas organized and stocked
    • Upon completion of each production be sure all pieces from that production are stored properly
    • During each production, at the end of each week a thoroughly check of all needs of the building and inventory are reviewed (stage management station: spike tape, glow tape, costume fix kit stocked, extra mic wires, first aid kit; bathroom: soap, paper towels, toilet tissue, trash bags, first aid kit; mic station: mic tape, condoms, batteries)
    • Maintain Organization of company storage, in liaison with Creative Team and Staff.
    • Maintain and store all company equipment, including those used for touring, etc.

Reporting: Production Manager reports to the Artistic Director and is a member of the creative team. The Artistic Director provides regular oversight of the Production Manager, including setting of annual goals and conducting the Production Manager’s annual performance evaluation.

Compensation & Benefits: This is a full-time position with an annual salary of $40,000. This position is eligible to participate in Clear Space’s QSEHSA health insurance program and its SIMPLE IRA retirement program.

  • Be detail oriented, well organized, and able to remain calm and clear-headed at all times
  • Have an understanding of technical aspects of theatre production (lights, sound, costume, set, props)
  • Demonstrated ability to work closely with and support artists at all stages of their careers

Qualification Requirements: A bachelor degree in theatre, technical theatre, theatre design, or related field OR 3+ years practical work experience in the management/theatre production industry

Company Manager

Clear Space Theatre seeks a Company Manager to oversee and support members of the Clear Space Theatre Company artistic teams including actors, directors, designers, and production staff for all events and performances. The Company Manager oversees the logistical needs of all productions and artists; such as managing documents, payroll requirements, and contracts for the cast and crew, enforcing policy, and serving as the primary point of contact between the artists (which includes the cast, creative, and administrative teams) and the Artistic Director. The Company Manager also serves the function of housing and travel coordinator. Additionally, the Company Manager interacts with each of the company members on a daily basis to ensure any day to day
needs are being addressed.

The Company Manager supports the Box Office staff with supplementary needs, such as answering phones, selling tickets, and communicating with patrons as needed.

The Company Manager is the coordinator for all Arts Institute communications and program setup for each semester of classes and camps.

Key responsibilities include:

Administrative and General Business Responsibilities

  • Represent Clear Space Theatre in a professional manner to company members, employees, and partner organizations.
  • Work effectively with supervisors, other staff members, guests, vendors, and sponsoring partners.
  • Complete contract and other hiring documents for new hires and submit them in a timely and accurate fashion.
  • Efficiently archive contracts and other show documents.
  • Maintain accurate employee records.
  • Provide support and hospitality services to staff and artists during rehearsal and tech processes in coordination with the Stage Manager and Artistic Director.
  • Oversee new hire orientations and onboarding as needed; Assist in implementing Clear Space Theatre’s Diversity, Equity, and Inclusion (DEI) Policies and Workplace Safety Policies ensuring completion of all required trainings and videos.
  • Work with the Box Office Manager to coordinate activities and company meals for artists.
  • Supervise any interns or Rebecca Luker Theatrical Partners along with Artistic Director.
  • Attend meetings as needed or required (staff meetings, production meetings, annual meeting, etc.)
  • Complete all other functions and assignments as assigned by the Artistic Director

Artists and Creative Team Relations

  • Create and distribute all contracts through DocuSign and ensure that ALL contracts are properly dispersed, signed, and collected
  • Create, collect, and distribute all supplementary documents, including contact sheet, preliminary rehearsal schedule, artist look page, questionnaires, costume form, photo release form, show calendars, housing agreement, DEI and Workplace Safety Policy and Procedures, and other documents as assigned
  • Create and distribute actor agreements for all student actors and ensure collection
  • Ensure materials are catalogued, received, and mailed to all artists (actors, designers, crew, musicians, etc.):
    • Catalogue received materials from licensing companies
    • Maintain sign-out sheet for all materials
    • Return materials to licensing companies
  • Collect headshots and biography paragraphs from all artists (print physical copies as needed)
  • Oversee, arrange and prepare company housing and transportation for all artists for all productions and special events
    • Curate, manage & maintain relationships with local housing & travel arrangements
    • Coordinate special events for artists such as opening/closing night parties, as needed.
  • Coordinate, schedule, and take minutes at all production meetings
  • Coordinate a schedule of production deadlines and ensure these deadlines are met by creative team
  • Support and supervise the actor deputy system
    • Coordinate initial meeting and election, with Artistic Director and Stage Manager
    • Meet with each deputy at least once a week to field questions and concerns
    • Act as a liaison between each show deputy and the company, reporting incidents or concerns immediately to the Artistic Director
  • Assist as needed with agents, artists, and applicable unions, including the Actors Equity Association; with approval of Artistic Director
  • Assist as needed with company member human resources-related concerns, and have familiarity with Clear Space Theatre’s code of conduct, including company policies on sexual harassment and anti-racism, and the company’s concern resolution process.
  • Perform rehearsal, opening night, and load-out operational and administrative duties.
    • Be a visible resource at rehearsals at least once a week (in summer, twice a week; each show)
    • Provide on-site day of show artist services support; be available during performances
    • Coordinate and attend load-out of each show (with director, designers, stage manager, etc)
    • Report any necessary findings to the Artistic Director (observations, incidents, etc.)

Arts Institute Coordinator Responsibilities

  • Proficiency in using Activ Network.
  • Create and distribute all contracts through DocuSign
    • Ensure that ALL contracts are properly dispersed, signed, and collected within 72-hours
    • Ensure all documents are collected and dispersed to the proper position (i.e. W4/W9 forms and direct deposit forms to payroll, costume forms to costume designers, etc.)
  • Send all updates on classes, cancellations, etc. in a timely manner.
  • Field on-site, phone, and event inquiries regarding the Arts Institute.
  • Coordinate all registration materials and parent communication, including scholarships, in conjunction with the Artistic Director
  • Maintain a scholarship database and create a report with final numbers upon completion of all classes each semester
  • Develop and update class rosters immediately following each classes, reporting on special needs, allergies, behavioral disorders, etc. for any student to Instructors
  • On-site liaison with parents.
    • Attend the entire first day of instruction for each class
    • Attend final day of instruction for each class (performance attendance required)
  • Coordinate needs of all Arts Institute instructors, including information to be sent to parents
  • Keep accurate records and update student retention documents

Box Office Support Responsibilities

  • The Company Manager assists in handling weekday sales for Clear Space Theatre Company’s Theatre Season, including pre-show sales and on-site at the door sales during business hours for all performances.
    • Full understanding and ability to use Patron Manager (ticketing system)
    • Trained in ticketing system;
  • Assists Box Office Manager with season subscriptions
  • Listen, communicate, and work effectively with guests in high-volume setting.

Show Programs

  • Create all show programs, coordinating with the Director of Development for all advertisements
    • Identify all dates for completion/deadlines
    • Pass on to Artistic Director for final approval one week prior to deadline
    • Send final drafts of each program to printing company, ensuring this company has all materials needed, and information regarding number of programs needed by certain dates and ensure delivery of programs by the stated deadline. Coordinate all edits provided by other staff.

Summer Contracts for 11weeks/2-6 days a week

Light Board Operator

Weekends and Evenings required including technical rehearsals (Su-Th) for 1-week and performances (Th-Su) for up to 3-weeks.
Previous Lighting experience not necessary but preferred.
Requires strong communication skills and ability to work as part of a team with all members of creative staff.
Part-time/Per Show Contracts
Summer Contracts for 11weeks/2-6 days a week

Musicians

Seeking Piano/Keys, Guitar, Bass, Percussion, Woodwinds (specific to shows), Brass (specific to shows)
Weekends and Evenings required including technical rehearsals (Su-Th) for 1-week and performances (Th-Su) for up to 3-weeks.
Requires proficiency in instrument and ability to sightread. Strong communication skills and ability to work as part of a band and with a Musical Director.
Part-time/Per Show Contracts
Summer Contracts for 11weeks/2-6 days a week

Set Construction

Schedule flexible with hard deadlines.
Work with Set Designer’s input to craft build based on sketches.
Previous work in construction preferred.
Ability to follow a rigorous schedule and meet deadlines.
